What KB and MB mean on a photo upload form

The units, not the tool: why 1 MB is sometimes 1000 KB and sometimes 1024, why file size is not width and height, and what number to actually aim for.

Almost nobody searching for “what does 100 KB mean” wants a lesson in binary arithmetic. They are looking at a form that just rejected a photo, with a number on it they were never asked to understand. This page explains the units, and only the units — the actual shrinking happens in the Image Compressor.

KB and MB measure weight, not size

A kilobyte (KB) and a megabyte (MB) describe how much storage a file occupies. That is all. They tell you nothing about how wide the picture is, how sharp it looks, or whether a face is recognisable. Two photos can both be exactly 100 KB while one is a crisp 400×500 headshot and the other is a blurry 4000×3000 landscape.

Roughly: 1 MB is a thousand KB, and a photo straight off a modern phone is usually 3 to 12 MB. So a form asking for 100 KB is asking for something around thirty to a hundred times smaller than what your camera produced. That is normal, and it is achievable without the result looking bad.

Convert KB, MB, and bytes

Enter the limit your form gave you. Because there are two competing definitions of a megabyte, the honest answer is a range rather than one number:

Why 1 MB is sometimes 1000 KB and sometimes 1024

This is the single most common source of “but my file is under the limit” confusion. There are two ways to count:

  • Binary: 1 KB is 1,024 bytes and 1 MB is 1,048,576 bytes. This is what Windows Explorer reports, and what most upload validators use internally.
  • Decimal: 1 KB is 1,000 bytes and 1 MB is 1,000,000 bytes. This is what macOS shows, and how storage is advertised.

Nothing tells you which one a given form uses. That is why a file sitting at exactly 1024 KB is sometimes rejected by a “1 MB max” field: under the decimal reading it is 24 KB over. It also explains why the size shown on your Mac and the size shown on a Windows PC disagree for the same file, even though neither is wrong.

The practical fix is to ignore the argument and leave a small margin. Treat “max 100 KB” as a 95–99 KB target and “max 1 MB” as 950–1000 KB. You lose nothing visible and you clear both conventions.

“Greater than 100 KB” — is that a floor or a ceiling?

This phrasing turns up constantly, and it means two opposite things depending on where you read it:

  • In an error message, it means your file is too heavy. “File is greater than 100 KB” is the form telling you to compress it down.
  • In the instructions, it can be a minimum. Several government and exam portals specify a range like “photo must be between 20 KB and 100 KB,” because a file that is too small is usually too degraded for a human to check.

Check which one you are looking at before you act. If it is a range, aim for the middle rather than the edge — a photo at 22 KB in a 20–100 KB window leaves no room for the portal’s own re-encoding.

File size is not width and height

Plenty of forms list both, and they are separate checks you have to pass at the same time. A visa upload might require 413×531 pixels and a maximum of 100 KB. Getting the bytes right while ignoring the geometry fails, and so does the reverse.

The order matters. Crop to the required dimensions first — the Passport Photo Resizer has the official frames built in — and compress afterwards. Compressing first and cropping second throws away quality you then have to pay for twice.

Megapixels are a different unit again

MP and MB look similar and get swapped constantly. A megapixel counts pixels, not bytes: 1 MP is about a million pixels, which is roughly 1200×850. Multiply an image’s width by its height and divide by a million and you have its megapixel count, so a 4000×3000 photo is 12 MP.

The two are related but not fixed to each other. More pixels usually means more bytes, but the same 12 MP photo can be saved as a 500 KB JPEG or an 8 MB PNG depending purely on format and quality. When a form specifies MP it is talking about resolution; when it specifies MB or KB it is talking about file weight.

How to check what your photo actually weighs

  • Windows: right-click the file, choose Properties, read “Size.”
  • macOS: select the file and press Command-I.
  • Android: open it in Files or your gallery’s Details panel.
  • iPhone: the Photos app does not show file size. Save the image to the Files app, or use Photos → share → Save to Files, then long-press it and read Info.

Check the file you are about to upload, not the original in your camera roll. The most common reason a “compressed” photo still gets rejected is that the original got re-attached.

What the common limits are for

  • 20 KB — signatures, thumbnails, and tight document crops. Too small for a detailed portrait.
  • 50 KB — Indian exam and ID portals, Passport Seva-style uploads, some bank KYC checks. See compress to 50 KB.

Frequently asked questions

What does “greater than 100 KB” mean?

Usually it is an error telling you your photo is too big: it weighs more than 100 KB and the form will only take something smaller. Occasionally it is the opposite — a stated minimum, as in “photo must be greater than 20 KB” — so read whether the number is a floor or a ceiling before you compress.

What does 100 KB mean for a photo?

100 KB is a file weight of roughly 102,400 bytes, about a thirtieth of a typical phone photo. It says nothing about how wide or tall the image is. A 100 KB JPEG can be a small sharp headshot or a large soft landscape.

How many KB is 1 MB?

1024 KB if the system counts in binary, 1000 KB if it counts in decimal. Windows shows the binary figure and macOS the decimal one, and upload validators use both. Aim a couple of per cent under whichever limit you were given and you clear either.

Is 100 KB a width and height?

No. KB measures bytes, not pixels. If a form lists both — “413×531 px, max 100 KB” — they are two separate checks and you have to pass both. Crop to the pixel size first, then compress to the KB limit.

Is 1 MP the same as 1 MB?

No, and they are easy to mix up. MP is megapixels, a count of pixels in the image: 1 MP is about a million pixels, roughly 1200×850. MB is megabytes, how much disk the file takes. A 12 MP camera photo is usually 3–6 MB, but the same shot can be saved at any file size you like.

How big is a 1 MB photo?

Around a 2000–3000 px wide JPEG at good quality — enough for a full-screen view and a 6×4 print. It is roughly a quarter to a tenth of an untouched phone photo, and about ten times a 100 KB form upload.

How do I check my photo’s actual file size?

On Windows, right-click the file and open Properties. On macOS, select it and press Command-I. On Android, open the file in Files or Gallery and check Details. On iPhone, open the photo in the Files app rather than Photos, which hides the size. Always check the copy you are about to upload, not the original.

Which number should I actually target?

A little under the stated limit. Portals that display a rounded size will bounce a file sitting exactly on the line, so treat “max 100 KB” as 95–99 KB and “max 1 MB” as 950–1000 KB. There is no benefit to going far below.
